When to Have Them and How to Finish early

The only good reason to have meetings is to do something together that you can't do better alone. Here are some memorable tips from experts that you may want to apply in 2010 to help make your meetings more productive.

  • Try to avoid scheduling any meeting before 11:00 a.m. Use the time to tackle your most important tasks early in the day.

  • Using an agenda can save 20 per cent to 50 per cent of your time by ensuring participants arrive prepared. List the meeting objective, advance work expected, and time for each agenda item.

  • Clarify for your staff that you value quality of participation in meetings more than quantity. Model that behavior by occasionally saying nothing yourself at a meeting.

  • To unlock thinking in meetings, ask individuals to make the case for a view that is different from the one they hold.

  • Stop a meeting after a complex agenda item instead of rushing on. Take time to recap and frame clarifying questions that come to mind. Similarly, at the end of meetings reiterate what has been accomplished and any plan of action agreed to.
